Partner Terms

Last updated: 23 October 2026

These terms apply to hotels, guesthouses, hosts and property managers (“you”) who list a property on VirTrav, including by claiming a listing we prepared. They sit alongside our general Terms of Service and Privacy Policy. If they conflict, these partner terms apply to your listings.

1. Authority to list

By claiming or creating a listing you confirm that you own the property or are authorised by its owner or operator to market it and accept bookings for it, and that you hold any licences or registrations the property needs.

We may ask you to prove this, for example by replying from the property’s published business email, answering a call to its published phone number, or sending a business registration or utility document. We can pause a listing until we are satisfied.

2. Listings we prepared for you

Some listings start as pages VirTrav built around 360° imagery that is already publicly available on Google Street View. Until you claim one it shows only that imagery, the property’s name and location, a note that the property does not manage the page yet, and a “Request rates” button; it is not offered for booking until you claim it, complete it, and it passes our review.

Street View imagery is provided by Google under its own terms and attribution requirements and can be changed or withdrawn by Google or its contributors. You can replace it at any time with your own photographs, panoramas or tours.

  • If you do not want to be listed, use the “Remove this listing” option on your claim page or contact us. We will take the page down and record that you opted out so it is not recreated.
  • Claim links are private. Do not share yours; anyone holding it could ask for the draft to be removed.

3. Your content

You keep ownership of the descriptions, photographs, panoramas and other material you add. You grant VirTrav a worldwide, non-exclusive, royalty-free licence to host, display, adapt for display (for example resizing or cropping) and promote that material in connection with your listing and VirTrav, for as long as the listing is live and for a reasonable period afterwards to wind down promotions already in place.

You confirm that you have the rights to everything you upload, that it fairly represents the property, and that it does not show guests or members of the public in a way that identifies them without their consent.

4. Prices, availability and accuracy

You decide your prices, availability, house rules and cancellation policy. VirTrav does not require you to offer the same or better prices than on any other channel.

You must keep your listing accurate, including room types, amenities, fees and availability. Prices shown to guests must include all mandatory charges other than taxes collected locally that you clearly disclose.

5. Bookings

  • A booking confirmed on VirTrav is a contract between you and the guest for the stay. You must honour it on the terms shown when the guest booked.
  • If you cannot honour a confirmed booking (for example because the room was sold elsewhere), you must tell us and the guest immediately and, at your cost, either arrange comparable or better accommodation nearby or agree to a full refund plus the guest’s reasonable extra costs.
  • You may contact guests about their stay through VirTrav messaging. Do not ask guests to pay outside the platform for a booking made on it.

6. Fees and payouts

Listing on VirTrav is free. For each completed stay we keep a commission of 12% of the price of the stay: your nightly rates plus any cleaning fee. Taxes collected on the booking are passed to you and are not commissioned. Guests separately pay VirTrav a 3% service fee, which does not come out of your price. We will give at least 15 days’ notice of any change to the commission, and the rate that applies is the one in force when the booking was made.

Guest payments are taken by our payment provider. After the guest has checked in we pay you the price of the stay and the taxes collected, less commission and any refunds or chargebacks, to the payout account you register. You are responsible for declaring and paying taxes on your income and for remitting any tourist or accommodation taxes that apply to the stay.

7. Calendars and channel managers

You can connect external calendars (iCal links from Booking.com, Airbnb, Vrbo and similar) and supported channel managers such as Cloudbeds. When you do, you authorise VirTrav to read availability, room types and rates from that system, and to send it the reservations made on VirTrav so the room is closed on your other channels.

  • You are responsible for mapping your rooms correctly and for keeping the connection active. iCal calendars refresh on a schedule, so there can be a short delay before a booking made elsewhere blocks dates on VirTrav.
  • Access tokens for connected systems are stored encrypted and used only to provide this sync. You can disconnect at any time from your dashboard or from the other system.
  • We are not responsible for errors, outages or charges caused by third-party systems, but we will help you resolve any double booking that arises.

8. Guest data

When a guest books, we share what you need to host them: their name, contact details, dates, party size and messages. You become a separate controller of that data. Use it only to provide the stay and meet your legal obligations, keep it secure, and do not use it for marketing unless the guest has agreed to that directly with you.

9. How listings are ranked

Search results and recommendations are ordered mainly by relevance to the guest’s search (destination, dates, guests and filters), then by tour availability and quality, listing completeness, guest reviews and booking history, and price. VirTrav does not currently accept payment for better placement. If that changes we will update this section first.

10. Standards, suspension and ending

We may hide or suspend a listing where we reasonably believe it is inaccurate, unsafe, unlawful, the subject of repeated serious complaints, or connected to fraud. Except where the law or an urgent safety issue prevents it, we will tell you the reasons and give you a chance to respond. For permanent removal we give at least 30 days’ notice.

You can unpublish a listing or close your account at any time. Bookings already confirmed must still be honoured or cancelled with a full refund to the guest.

11. Liability

You are responsible for the accommodation and services you provide and for complying with the law that applies to them. VirTrav is responsible for operating the platform with reasonable care and skill.

Neither of us is liable to the other for indirect or consequential loss. Nothing in these terms limits liability that cannot be limited by law.

12. Changes and complaints

We will give you at least 15 days’ notice by email before changes to these terms take effect, unless a change is required by law. You may end your agreement with us before then if you do not accept a change.

If you have a complaint about how we have treated you or your listing, use the contact page and choose “Listing my property / partnership”. We aim to acknowledge complaints within two working days and to resolve them within 30 days.
